  • GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES
     

    The employee in this position is responsible for clerical and secretarial work involving performing complex and varied clerical duties and assuming numerous administrative details. The employee is responsible to and under the direct supervision of the Planning Director.
     
    EXAMPLES OF DUTIES
     
    Ensuring that each caller/visitor receives outstanding customer service. This may include answering questions or giving information directly, routing the customer to the appropriate staff member/agency, researching, investigating, and following through with requests.
  • Writing general correspondence and memos, creating pamphlets/brochures, writing newsletter articles, and annual report, and editing documents
  • Updating the SWGRC Planning website with current contact information, meetings, events, projects, and publications
  • Responsible for outgoing mail, preparing certified mail/receipts, and sending items for overnight delivery, UPS or Fed Ex.
  • Responsible for issuing purchase orders to staff
  • Keeping a calendar for meetings and monitoring staff schedules to ensure meeting preparedness.
  • Responsible for maintaining office machines, including setting up service/repair appointments, ordering necessary supplies, and installing cartridges/drums when necessary.
  • Coordinating meetings, appointments, and activities to meet the department’s needs.
  • Arranging for catering and food purchases and preparation for meetings
  • Providing support for staff members for any project/program
  • Performing additional related duties as assigned by the supervisor
  • Maintaining records and upkeep of 6 company vehicles
  • Put together meeting packets with any information needed for meetings.
  • Scheduling appointments as needed.
  • Research and collect information and articles from the newspapers in the 14-county region daily that will assist the Planning Department in their projects.
